
📬 Creating a Mailbox
A Mailbox stores voicemails for departments, or call flows.
You can choose a custom greeting, decide how long messages are stored, and notify users by email whenever a new voicemail is received.

⚙️ How to Create a Mailbox
Go to Dial Plans → Mailboxes.
Click the green ➕ Add button in the upper-right corner.
Fill in the Mailbox settings:
Name the mailbox:
Give your mailbox a clear and descriptive name (e.g., Sales Voicemail or Support Mailbox).Mailbox number:
Create your own unique mailbox number (for example,5500).This number will be used for internal access.
By default, voicemailboxes are accessible via the prefix
1233, followed by your mailbox number.→ For example: dialing
12335500from a fixed device lets you access this voicemailbox — provided you have permission (see below).Pincode (optional):
Add a PIN code as an extra security measure.Only users who know this PIN and have permission can access the mailbox by dialing in.
Retention period:
Decide how long voicemails are stored (default: 7 days).Greeting sound:
Choose or upload a custom greeting message.Extra email (optional):
Enter an additional email address to receive copies of new voicemails.
This is in addition to any users added under permissions.
👥 Adding Permissions
You can assign permissions to specific users who need access to this mailbox.
Select the user from the dropdown list.
Assign permissions:
✅ Manage – allows the user to listen, delete, and manage voicemails, both in the UC panel and via a fixed device.
✅ Notify via email – sends an email when a new voicemail is received. The voicemail message is attached as an MP3 file.
Click the ➕ icon to apply the permissions.
